The Bid Coordinator is responsible for coordinating and managing the end-to-end bid and proposal process for public and private sector tenders in the cybersecurity and IT services domain. This role ensures that all RFPs, RFIs, and RFQs, clearly articulate the organization’s technical capabilities, value proposition, and compliance with client requirements, as well as are delivered on time, compliant, high-quality, and competitive.
The ideal candidate isn't just an administrator; is a strategic facilitator, who can keep calm under pressure when a technical architect changes a solution design 24 hours before a deadline, and has the diplomatic skills to keep everyone on track.
Key Responsibilities
- Lead the coordination of public and private RFPs, RFIs, and RFQs from initial notification through to final submission, and award/loss, as well as act as the central point of contact for bid-related activities
- Review tender documentation to identify scope, requirements, deadlines, evaluation criteria, and compliance obligations
- Develop and manage bid schedules, work plans, submission timelines
- Ensure timely collection of technical, commercial, legal, and administrative inputs from internal and external stakeholders, incorporating the different inputs into a coherent proposal
- Write, edit, and proofread non-technical proposal sections (e.g. company profile, case studies, CVs) while ensuring a clear, well-structured, and consistent "one-voice" tone throughout the proposal
- Conduct compliance checks, reviews, and final quality assurance before submission
- Verify that all mandatory documents, declarations, and certifications are included
- Maintain and update a bid content library (standard proposal templates per service, case studies, CVs, personnel and company’s certifications, projects, methodologies, past performance citations, etc.)
- Manage electronic and physical submissions via different procurement portals
- Track bid outcomes and coordinate post-submission clarifications or negotiations
- Support bid debriefs, clarifications, negotiations, post-bid reviews, win/loss analysis, and continuous improvement initiatives
Requirements
Basic Qualifications
- Bachelor’s degree, in Business Administration, Information Technology, Cybersecurity, Engineering, or a related field is desirable
- Proven experience in bid coordination, proposal management, or tendering, preferably in IT or cybersecurity services
- Familiarity with RFPs/RFIs/RFQs processes and procurement platforms
- Ability to translate tender requirements into clear, client-focused proposal content
- Collaborative, adaptable team player with a growth mindset and a strong commitment to continuous improvement and high-quality delivery
- Highly organized, and detail-oriented, i.e. an eagle eye for formatting, grammar, and adherence to specific client instructions is a must-have
- Proficiency in Microsoft Windows, Word, Excel and Adobe Acrobat
- Excellent written and verbal communication skills in Greek and English

- Certification or training in project management, proposal management, or cybersecurity fundamentals
